How to Integrate a GPX Track and Estimate Shift Timing in WeezCrew

For sporting events (trails, road races, cycling, running), WeezCrew allows you to import GPX tracks and automatically calculate expected participant passage times. This feature helps you accurately size and schedule time slots for volunteers and safety teams along the route.

Step 1: Import Your GPX Track onto the Map

  1. From your event dashboard, go to the Shifts module.

  2. On the right of your screen, switch from List View to Map View.

  3. Select the map background best suited for your needs (Roadmap, Satellite, or IGN).

  4. Click Tracked, then Add a route.

  5. Fill in your course parameters:

    • Route Name: e.g., 35 km Trail.

    • GPX File: Upload the file from your computer.

    • Display Color & Direction: Choose a visible route color and set the direction.

Step 2: Configure Start Times and Paces

To enable automated passage time calculations:

  1. Set the exact race start date and time (e.g. at 07:30 AM).

  2. Enter the estimated pace for the lead runner (e.g., 4:30 min/km).

  3. Enter the estimated pace for the last runner (serre-file, e.g., 9:30 min/km).

  4. Click on Add to save the configuration. The track will appear directly on the map.

Step 3: Link a Shift to the Track and Adjust Time Slots

When setting up a shift located along the course (e.g., an aid station or marshaling point):

  1. In the shift creation wizard, check Link Track (Lier le tracé).

  2. WeezCrew instantly displays calculated metrics for that specific location:

    • Distance from start and distance remaining to the finish line.

    • Cumulative positive elevation gain (D+) from the start.

    • Estimated arrival time of the lead runner.

    • Estimated arrival time of the last runner.

  3. Adjust the start and end times of the shift's time slot based on this window (e.g., set a shift from 07:30 AM to 10:30 AM to cover the entire field).

  4. Save the shift.

Step 4: Filter and Track Shifts by Course

To easily view all operational posts associated with a specific distance:

  1. Switch to List View in the Shifts module.

  2. Click Edit Columns and add the Track (Tracé) column.

  3. Open the Filters panel and select a specific track (e.g., show only shifts for the 35 km course).

  4. Click Save View to store this setup for quick access.
