In the WeezCrew platform, organisers have multiple flexible methods to clock volunteers in and out—whether managing individuals beforehand, handling shifts on-site via desktop or mobile, or scanning badges at entrance gates.

Important: Clock-in permissions are restricted to admins, category shift managers, and shift managers. Members are not able to clock themselves in.


Method 1: Clocking In and Out via the Member Profile

This method is ideal when managing an individual volunteer’s schedule directly from their personal profile.

  1. Navigate to the Member’s Profile: Locate the volunteer in WeezCrew and select their profile.

  2. Open the Shift Tab: Click on the Shift tab to view all assigned shifts for that volunteer.

  3. Switch to List View: Change the display setting from calendar view to List View.

  4. Clock In: Click the Clock In button next to the relevant shift. WeezCrew automatically records an accurate timestamp with the current date and time.

  5. View Status on Calendar: Returning to the Calendar View displays a new status icon indicating that the volunteer is currently clocked in.

  6. Clock Out: When the shift ends, return to the profile and click Clock Out. WeezCrew will automatically calculate and display the total hours worked for that shift.


Method 2: Fast Clock-In from the Member List View

If you need to clock in members directly from your main member list without opening individual profiles, you can customize your table view.

  1. Customize Table Columns: Go to the Member View and click Edit Columns.

  2. Add Assigned Shift: Search for the Assigned Shift (AssignShift) field, add it to your visible columns, and save your custom view.

  3. Instant Clock-In: Locate the member in your list, click directly on their Assigned Shift field, and trigger the clock-in action right from the table interface.


Method 3: Managing Attendance from the Shift Module (Desktop & Mobile)

When managing a specific team or location (such as Race Marshals or VIP Hospitality), managing attendance directly through the Shift Module is often the most efficient approach.

  1. Access the Shift Module: Navigate to the Shifts section in WeezCrew.

  2. Select Your View: Choose your preferred layout (e.g., listing all shifts or viewing specific time slots).

  3. Select a Shift or Time Slot: Click on a specific shift (e.g., Race Marshal) to view the assigned volunteers.

  4. Clock In/Out: Click on any assigned member within the shift details to clock them in or out.

  5. On-Site Mobile Access: Staff working on-site can access the WeezCrew Mobile Web App. By navigating to Members & Shifts and selecting the shift time slot on a mobile device, team leaders can clock volunteers in and out on the go.


Method 4: Automated Check-In via WeezAccess (QR Code Scanning)

For high-volume events or automated check-in stations, WeezCrew integrates directly with the WeezAccess scanning solution.

  • Scan to Clock In: Supervisors or gate staff use a WeezAccess scanner or mobile scanning device to scan the QR code printed on a volunteer's badge or assignment document.

  • Instant Processing: Scanning immediately registers the clock-in event in WeezCrew without requiring manual clicks in the administrative interface.
