How to Notify Assigned Volunteers of a Shift Schedule Change

During event operations, shift hours frequently shift or station requirements evolve. WeezCrew allows you to contact and notify volunteers already assigned to those shifts via targeted email or SMS campaigns.

Two methods are available depending on whether you are updating a single specific shift or multiple shifts simultaneously.

Method 1: Target a Specific Shift or Time Slot

This method is the fastest approach when schedule adjustments affect only one station or a single time slot.

  1. Update Shift Details:

    • Open your event workspace and select the target shift (e.g., Hall 8 Bar).

    • Edit the relevant time slot (e.g., adjust hours from 9:00 PM–2:00 AM to 9:00 PM–3:00 AM) or update the role description.

  2. Build the Communication Campaign:

    • Go to the Campaigns module and prepare your message (email or SMS).

    • Configure your delivery settings and attach updated documents if needed, such as the shift schedule.

  3. Select Recipients:

    • In the recipient targeting step, select the Shift or Time Slot category.

    • Filter and pick the exact shift and time slot that underwent changes.

  4. Send or Save:

    • Click Next to preview your message, then dispatch the campaign immediately or save it as a draft.

Method 2: Target Multiple Shifts Using Tags or Custom Fields

If your schedule changes impact multiple shifts across your event, this workflow prevents you from having to select each time slot individually within your campaign settings.

  1. Tag Updated Shifts:

    • Open your shifts list and select all modified shifts (use bulk selection).

    • Click Edit Properties.

    • Add a specific tag or set a dedicated shift custom field (e.g., Updated Shift with date).

    • Apply this bulk update across all selected shifts.

  2. Build Dynamic Views:

    • Shift View: Create a view filtered on shifts containing your custom tag or field (e.g., Updated Shift = Sept 29). Save this view.

    • Member View: Go to the member directory and create a new view filtered on all volunteers assigned to shifts included in your saved shift view. Save this audience segment.

  3. Dispatch the Campaign:

    • From your newly created member view, click the three dots menu and select Send Campaign.

    • Choose your message template (e.g., Schedule Update Notification) and launch the dispatch.
