How to Create and Configure Event-Specific Custom Fields in WeezCrew

In WeezCrew, you can create custom fields to collect precise data from your members, volunteers, or accredited guests during registration.

1. Organization-Level vs. Event-Level Custom Fields

Before creating a custom field, understand the difference between the two available structural levels:

  • Global Custom Fields (Organization Level): Created in the organization's global settings, these fields store information that carries over across multiple events and editions (e.g., standard contact details, emergency contacts, profile photos).

  • Event Custom Fields: Configured directly inside a specific event to gather edition-specific data (e.g., "Which shift would you prefer for this edition?" or "Do you need local camping access for this edition?").

2. Creating an Event-Level Custom Field

  1. From your event dashboard, open the Options menu.

  2. Select the Custom Fields section.

  3. Choose your configuration mode: Basic or Advanced.

3. Configuration Modes: Basic vs. Advanced

A. Basic Mode

Ideal for quickly creating straightforward questions:

  • Category: Choose the profile or form section where the field belongs.

  • Field Name: Enter the exact label or title of your question.

  • Subtitle / Help Text: Add guidance or instructions for the applicant.

  • Response Type: Select the input format (short text, single choice, multiple choice, checkbox, date, etc.).

B. Advanced Mode

Offers extended functionality for data control, validation, and privacy:

  • Sensitive Data Encryption: Encrypt confidential or regulated records (e.g., ID numbers or sensitive internal notes).

  • Conditional Logic (Dependencies): Display a question only if a specific answer was given to a preceding question (e.g., IF "Do you hold a valid driver's license?" = Yes, THEN show the upload field for license verification).

  • Validation & Formatting Rules:

    • Whitespace control: Disallow leading or trailing spaces.

    • Character length: Define minimum or maximum character limits.

    • Allowed character sets: Restrict input to numbers only, exclude special characters, enforce all caps, etc.

    • Regex / Pattern formatting: Enforce structured syntax (e.g., license plate patterns or specific postal codes).

4. Implementing Fields in Forms

Once saved, your custom field appears in the event's field library. You can immediately place it onto your registration forms and return to this settings menu whenever you need to adjust its properties.
