In WeezCrew, you can send individual documents to your members (badges, shift sheets, schedules) within your email campaigns in two ways: as an email attachment or via a hyperlink (dynamic variable).
1. Feature Comparison: Attachment vs. Dynamic Link (URL)
Sending Method | Document Generation | Key Features & Advantages |
Attachment | Generated at the exact moment the email is sent. | Attached directly to the message. If changes are made to the member's profile after sending, the attachment will not update. |
Dynamic Link | Generated every time the recipient clicks the link. | Regenerates in real time upon clicking. It is always up to date if changes occur after the email is sent. |
⚠️ GDPR & 14-Day Validity Warning: For GDPR compliance reasons, dynamic document links remain valid for 14 days. Once this period expires, the link deactivates and redirects to a blank page.
2. Managing and Renaming Dynamic Variables
Before inserting a document link into an email campaign, ensure its variable has a unique name:
Resolve Name Conflicts: If an error message indicates that multiple variables share the same name (e.g., Badge A4 and Badge A6), the link will not function properly.
Rename Variables: Edit the relevant document, update the variable name, and save.
Native WeezCrew Documents: Dynamic variables are also available for built-in platform documents, such as shift sheets or calendar schedules.
3. How to Insert a Document Link in an Email Campaign
Go to Communication > Campaigns.
Copy the dynamic variable or link for the document you want to send.
In the message editor, paste the variable or hyperlink it to text (e.g., "Click here to download your badge").
Upon receiving the email, members can click the link to open their personalized, up-to-date document.
