1. Configure Your DNS Records in WeezCrew
The foundational step to prevent receiving mail servers from rejecting or flagging your messages as spam is validating your sending domain's technical authentication.
Go to the Email settings menu within your WeezCrew workspace.
Confirm that your sending domain has all required technical records configured and validated:
3 CNAME records
1 TXT record
Verify that all status indicators show green before launching mass broadcasts.
2. Diagnose and Resolve Common "Bounced" Status Errors
Within each communication campaign report, WeezCrew displays a Bounced status whenever an email cannot be delivered. Below are the three most common bounce error signatures and their direct remediation steps:
Error 1: Mailbox Full / Storage Exceeded
smtp; 554 4.4.7 Message expired: unable to deliver in 840 minutes.<452-4.2.2 The recipient's inbox is out of storage space. Please direct the<CRLF>452-4.2.2 recipient to<CRLF>452 4.2.2 https://support.google.com/mail/?p=OverQuotaTemp a640c23a62f3a-c2a9c73d49bsi62387466b.352 - gsmtp>
Root Cause: The recipient's inbox is completely full (e.g., saturated Google Workspace or personal Gmail storage). The sending server attempted delivery repeatedly over 14 hours (840 minutes) before aborting.
Resolution:
Contact the recipient through an alternate channel (SMS, phone call, or instant messaging) to alert them that their storage quota is exceeded.
Ask the recipient to delete old emails, empty their trash bin, or expand their Google storage quota.
Resend the message once storage space has been cleared.
Error 2: Suppressed Address (AWS SES Suppression List)
Amazon SES has suppressed sending to this address because it has a recent history of bouncing as an invalid address. For more information about how to remove an address from the suppression list, see the Amazon SES Developer Guide: https://docs.aws.amazon.com/ses/latest/dg/remove-from-suppressionlist.html
Root Cause: Amazon SES (the underlying delivery service) has automatically placed this email address on an internal suppression list because past sends to this address hard-bounced as invalid, non-existent, or blocked. This suppression prevents further sending attempts to safeguard domain reputation.
Resolution:
Verify the exact spelling of the recipient's email address on their member profile card to ensure no typos exist.
If you manage your own dedicated AWS SES sending infrastructure for WeezCrew, navigate to the AWS SES Console, open the Suppression List under Configuration, search for the address, and remove it once verified as valid.
If your sending infrastructure is hosted by WeezCrew, update or re-verify the email address with the user before contacting platform support to request address delisting.
Error 3: Access Denied / Recipient Rejected
smtp; 550 5.4.1 Recipient address rejected: Access denied. For more information see https://aka.ms/EXOSmtpErrors [PA3PEPF000089BA.FRAP264.PROD.OUTLOOK.COM 2026-09-21T16:09:58.438Z 08DF1461BEB1F2E3]
Root Cause: The recipient's mail system (typically Microsoft 365 or Exchange Online) explicitly refused to accept the message. Common causes include:
The email account does not exist or has been disabled.
The recipient's organization recently updated their Exchange/DNS settings and misconfigured incoming routes.
The corporate firewall or spam filter rejected the incoming message due to missing domain authentication (SPF, DKIM, or DMARC).
Resolution:
Inspect the email address for syntax errors, missing characters, or misspelled domains.
Check in with the recipient to confirm that their corporate or personal address is currently operational.
Verify that your SPF, DKIM, and DMARC records are strictly validated in your domain DNS zone, as Microsoft Exchange actively blocks domains failing basic alignment checks.
3. Best Practices to Optimize Deliverability and Workarounds
Even with properly validated DNS records, poor message structure or excessive payload size can trigger spam filters or server rejections.
Payload and Alternative Routing
Avoid Oversized Attachments: Sending heavy files significantly increases the probability of receiving servers rejecting the transmission or routing it to spam folders. Host large documents externally and share secure download links instead.
Deploy SMS Fallbacks: When critical operational updates fail to deliver via email, switch to an automated SMS campaign if the member has a registered mobile number.
Content and Design Guidelines
Text-to-Image Ratio: Maintain an optimal balance of approximately 60% text and 40% imagery. Never dispatch an email composed entirely of a single large image.
Avoid Spam Trigger Words: Minimize or eliminate terms such as Free, Urgent, Exceptional Offer, currency symbols ($$$, €), Win, Promo, or Buy Now in both the subject line and body text.
Typography and Formatting: Avoid writing entire lines in ALL CAPS, stacking exclamation points (!!!), or using bright, aggressive font colors (bright red, high-contrast yellow).
Clean Hyperlinks: Refrain from using generic public link shorteners (like Bitly) in bulk email sends, as these are heavily flagged by security algorithms. Always ensure your links point directly to secure domains using
https://.
