This article details the steps and functionality required to check in your teams (volunteers, staff) directly from your smartphone using the WeezAccess mobile app connected to WeezCrew.
Prerequisites Before Check-In
Before scanning and checking in your teams on-site, ensure the following conditions are met:
Member Assignment: Ensure all volunteers or staff members are properly assigned to their respective missions in WeezCrew.
WeezAccess Account Linking: Create a Weezevent account and share its identifier with us.
Check-In Operator Creation:
Go to the WeezAccess page in your account.
In the "Control List" (Access List) section, create the list of your choice for check-ins (e.g., specific groups/populations, by day, etc.).
In the "Operator" section, create an operator profile.
Mandatory Rule: The operator's username and name must end with
@recrewteer.com(e.g.,[email protected]).Set a password of your choice.
Assign this operator to the access lists they are authorized to manage, then save.
Sending QR Codes to Volunteers / Staff Members
Each member profile generates a unique QR code and barcode. For members to be scanned on the day of the event, send them their code via one of the following methods:
In Documents: Embed the QR code directly into the assignment sheet or badge.
Via Email Campaigns: Insert the
{user.qrcode}dynamic variable into the body of the email when sending schedules.
Check-In Steps on the Mobile Application
Log in to WeezAccess:
Download and open the WeezAccess app on your smartphone.
Log in either by entering the operator credentials created earlier or by scanning the operator connection QR code directly.
Select the Control List:
Choose the desired control list.
Load the list to open the scanner screen.
Scan and Record Entry:
Set the access mode to Entry (In).
Scan the QR code presented by the volunteer. A green screen confirms a successful scan.
Sync your smartphone to upload the check-in data to WeezCrew.
Automated Check-In Rules
Smart Timestamping: Scanning automatically checks the person in for the mission time slot closest to the scanning time.
Daily Filter: Check-in only works if the member has a mission scheduled for that day. Scanning a code for someone without a scheduled mission that day will display a green confirmation screen, but no check-in will be recorded.
Check-Out (Exit): To record a member's departure, switch the app to Exit (Out) mode, scan the QR code, and sync. The platform will automatically calculate the total attendance time.
Multiple Missions Management: By default, control lists are set to single check-in mode. If members carry out multiple missions on the same day, update the control list settings to Unlimited mode.
